License tracking
ClinLicense keeps every state license, DEA registration, controlled substance registration and certification in one list, with the dates, numbers and documents that go with each one, for physicians, nurses, PAs and CRNAs alike.
What gets tracked
Each credential has an issue date, an expiration date, a number, the issuing body and any documents you attach, such as a wallet card, a renewal receipt or a certificate. The same record can carry the renewal fee, the CME rule that applies and the notes you want to remember when the next renewal arrives.
- State medical, nursing and physician assistant licenses
- RN, LPN and LVN licenses, and APRN licenses for NP, CNM, CNS and CRNA roles
- DEA registrations and state controlled substance registrations
- Board and national certifications, including nursing certifications such as CCRN, CEN, CNOR and PCCN
- BLS, ACLS, PALS, TNCC, ENPC and similar cards
- Malpractice insurance, immunizations and facility privileges
Nurse licenses and the compact
A multistate license issued by a Nurse Licensure Compact state is recorded once, with its home state, and the record notes that it carries the privilege to practice in the other compact states. A nurse who also holds single-state licenses outside the compact keeps those alongside it, each with its own renewal date. CE contact hours are logged against each license, and you confirm the hours and topics with each board.
Two example nurse files
The tables below show how a nurse’s file is laid out. The people are invented for this page, and the same layout holds a physician’s or PA’s credentials.
| Credential | Issued by | What ClinLicense records |
|---|---|---|
| Texas RN license, multistate | Texas Board of Nursing | Home state Texas, the expiration date, and a note that it carries the privilege to practice in the other compact states |
| California RN license | California Board of Registered Nursing | A single-state license with its own renewal date, because California is not a compact member |
| CCRN (adult) | AACN Certification Corporation | The certification number, the renewal date and the certificate |
| BLS and ACLS | American Heart Association | Each card with its expiration date and a photo of the card |
| TNCC | Emergency Nurses Association | The card number and expiration date |
| CE contact hours | Course providers | Each course with its contact hours and topic, counted against the Texas and California renewal cycles |
| Credential | Issued by | What ClinLicense records |
|---|---|---|
| APRN license, family nurse practitioner | State board of nursing | The APRN role, the population focus, the license number and any prescriptive authority |
| RN license | State board of nursing | The RN license the APRN license depends on, with its own renewal date |
| FNP certification | National certifying body | The certification cycle, which runs separately from the state license |
| DEA registration | Drug Enforcement Administration | The registration number, schedules and expiration date |
| Pharmacology hours | Course providers | Pharmacology CE logged separately, so the hours a board or certifying body asks for are visible on their own |
State CE rules for RNs, LPNs and LVNs are on each state page, and the compact guide for RNs and LPNs explains how a multistate license works.
Any credential, in any profession
If a credential is not in the built-in list, Add Other Credential records it for any profession, starting from a template or from scratch, with the same dates, numbers, reminders and documents as everything else. An Other credentials filter keeps them together. This is in the Mac app today.
Reminders that arrive early
Notifications are scheduled on your own device before each expiration on the days you choose, and every renewal can be exported to a calendar as an .ics file. Because reminders are created locally, they do not depend on a server being reachable.
One honest number
The Standing score summarizes how your credentials stand today and lists every deduction with the reason for it, so you can see what needs attention first rather than guess.
Where your records live
The vault is encrypted on your device. If you turn on sync, ClinLicense writes the same encrypted files to a folder you choose, and that folder's provider sees only encrypted files. Read the security page for the details.
Keep the whole file on your own devices
ClinLicense is free for individual clinicians. It needs no account, and your records stay encrypted on your own devices.
