Frequently asked questions
Straight answers about the app, the privacy model, the state data and the free tools on this site.
What is ClinLicense?
ClinLicense is a private tracker for clinicians that keeps state licenses, DEA registrations, certifications and CME hours in one place. It runs on your own devices, keeps records encrypted and works without an account.
Who is ClinLicense built for?
It is built for MD, DO, PA and CAA clinicians, for RN, LPN and LVN nurses, for APRNs working as nurse practitioners, nurse-midwives, clinical nurse specialists or CRNAs, and for the coordinators and practice managers who track credentials for them. Teams of 10 to 500 providers can use a shared workspace.
Does ClinLicense track Nurse Licensure Compact licenses?
It does. A multistate compact license is recorded once with its home state, alongside any single-state licenses you hold outside the compact. Nursing certifications such as CCRN, CEN, CNOR and PCCN, TNCC and ENPC cards and CE contact hours are tracked in the same record. The app does not decide which states honor your compact privilege, so confirm that with the boards involved. The compact guide for RNs and LPNs explains home states and moving, and each state page shows whether that state is a compact member.
Does the site list nursing CE requirements by state?
Each state page has a Nurses section with the recorded RN and LPN/LVN contact hours, the cycle, mandated topics, the nursing license renewal schedule, the board link and the source the entry was checked against, plus CNM and CNS rules where they are recorded. Where a rule is not recorded yet, the page says so. The nursing CE guide puts every state side by side, and you should confirm each rule with the board.
Does ClinLicense have a server that holds my records?
The individual app has no ClinLicense server and no account. Your vault is encrypted on your device, and optional sync writes encrypted files to a folder you choose.
How are my records protected?
The vault and every attached document are sealed with AES-256-GCM, and the key is kept in the secure store of your platform. The security page and privacy page describe this in more detail.
What happens if I lose my device or forget my recovery passphrase?
If you turned on sync, you can open the vault on another device with your recovery passphrase. The passphrase is never stored by us, so if you lose both the passphrase and every device, the vault cannot be opened.
Which platforms are supported?
ClinLicense runs on Mac, on Apple silicon and Intel, with macOS 15 or later. You can download it from the home page.
Can I share my file with a new group, hospital or agency?
Yes, when that organization uses a ClinLicense workspace. In the free app you grant it one of four levels, from status only to full control, and when it asks for documents you tick exactly which files to send. Everything is sealed so only that organization can open it, and you can lower or revoke the level later. If the organization does not use ClinLicense, export a credentialing packet as a ZIP and a combined PDF instead.
How much does it cost?
The individual app is free for individual clinicians. Team and enterprise plans are priced per provider, and the current proposal is on the pricing page.
Where do the state requirements come from?
They were compiled by hand for planning, and each entry shows when it was last reviewed or says that it is not yet verified. Boards change rules between cycles, so confirm with the board before you rely on any entry.
Is the state CME and CE data guaranteed to be correct?
It is not guaranteed, because it is a planning aid and not legal or compliance advice. Our editorial standards explain how entries are written, flagged and corrected.
Does one CME course count in more than one state?
Often it does when both boards accept the credit type and topic, but some states require a board-approved course or a specific provider. The multi-state CME guide explains how to check.
What is the DEA MATE Act training?
It is a one-time total of 8 hours of training on treating and managing patients with opioid or other substance use disorders for most DEA registrants. Read the MATE Act guide and confirm the current details with the DEA.
Which states require a board-approved opioid course?
Some boards accept only courses they have approved, and the state pages flag any such rule that is recorded in our data. Where nothing is flagged, that does not prove a general course will count, so check with the board.
Can ClinLicense read my documents automatically?
Yes. It reads PDFs and photos on your device using local text recognition and suggests the type, number and dates for you to confirm. The contents of your documents are not sent anywhere.
Does ClinLicense remind me before things expire?
Yes. Reminders are scheduled as local notifications on your device on the days you choose, and you can export renewals to your calendar as an .ics file.
What is the Standing score?
It is a number from 0 to 100 that summarizes how your credentials stand today, with the top reason and a list of every deduction. It is a tracking aid and not a rating that anyone else sees.
Can I use ClinLicense for locum tenens work?
Yes. You can keep a packet of documents current and export it for each agency or facility. See locum tenens credentialing.
Can a practice manager track several providers?
Yes, with a team workspace that lives in your own Microsoft 365. Providers can answer document requests and coordinators can run expiring-items reports. Read small practice credentialing.
Does ClinLicense replace CAQH or payer enrollment?
It does not replace them. It helps you keep the documents and dates ready for those systems, but you still maintain your CAQH profile and payer enrollments yourself. See the CAQH re-attestation guide.
What does the NPI lookup send?
It sends only the number you type to the public NPPES registry. The website lookup runs from your browser to the registry directly, and if your browser blocks it, the page links to the official registry instead.
Does the website use cookies or analytics?
The website sets no cookies and runs no analytics or advertising scripts. The fonts load from Google Fonts, so your browser contacts Google to fetch them. See the privacy page.
Is ClinLicense accessible?
We aim to meet WCAG 2.2 level AA on this site and in the apps, and we have not had an independent audit. Read the accessibility statement for known gaps.
Is ClinLicense HIPAA compliant?
ClinLicense stores professional credentials rather than patient records, and the individual app has no vendor server that receives your data. Whether your organization needs any agreement depends on how you use it, so ask your compliance officer. Read health data privacy.
How do I get help or report an error in the data?
There is no public contact address at the moment, and the contact page explains where to look instead. If you believe a state requirement is wrong, confirm it with the board first and keep your own record of what the board said.
Can I export my data?
Yes. You can print or export expiring reports as a PDF or CSV, export packets as a ZIP, and export renewals to a calendar. The free tracker template also lets you keep a plain spreadsheet.
Keep the whole file on your own devices
ClinLicense is free for individual clinicians. It needs no account, and your records stay encrypted on your own devices.
